Our Party Pic Policies & Procedures
A Guide for the Social Chair 

 

Our mission is capturing fun memories at your picture-worthy events  
We'll gladly
schedule a shooter to cover events according to these guidelines.. 

  1. Inform us of all of your anticipated event dates at the start of each semester
  2. Book your events online a minimum of 7-10 days in advance. (see below) 
  3. Generally, we require a $50 shooting fee and a minimum crowd of 125-150 to keep the shooter busy shooting for a 90 minute span. 
  4. It must be possible to deliver web-links (to the images) via an e-mail to all members.  
    We update our chapter member list once each year as your new members arrive. 
     
    Privacy policy: we do not share, sell, or otherwise allow 3rd party access to member information.  E-mails are used only for the specific purpose of alerting members when photos post online. 

 

Submit your list of events at the start of each semester 

An efficient Social Chair plans and arranges for the venue, band, food, rooms, and photography several weeks in advance.  The more notice we have, the more likely we can schedule a shooter - especially for those traditionally busy weekends (or out of town events).  Inform us of expected dates in September and January so we can follow up to get complete booking information (see below) 7-10 days before the date.  If you should wait too long to book events, there is the real risk that a shooter may not be available.

A $50 shooting fee applies to most events 
The shooting fee helps overcome fixed costs of scheduling a shooter for your events.  Once you book the event (at web-link above), you'll receive further instructions about making payment.

CANCELLATIONS
If you cancel an event, we appreciate the courtesy of being notified as soon as possible.  If not canceled 24 hours in advance, the shooting fee is not applied to the next event.

    
Photographers
We pick photographers to have fun, energetic, and outgoing personalities.  They are expected to have a good time, but never drink or party while on the job.  If you are ever unhappy with their conduct or results, notify us at once so we may investigate.

What if your Photographer is late?
Look around - he's probably already shooting just outside the main party room.  If more than 15 minutes late, call our office.  We'll attempt to dispatch a standby shooter.

When do PHOTOGRAPHERS finish and leave?
We pay our shooters based on how many good pics they snap for you.  This is specifically to provide the incentive to shoot as much as possible.  While there is no limit on how much they may shoot, once the demand for pics falls off, they will finish up and depart.  Generally, they shoot about 90 minutes start to finish.  

You may plan your party to run from 9pm - 1 am, but when the crowd arrives depends on your bus schedule, pre-party, and other factors.  Typically, the "middle 90" minutes is the best time to have the shooter around.  Shooters should be scheduled to arrive to find a "party in progress" and immediately start snapping 200-300 pics per hour.   

 

PROOF DISPLAY

Proofs post online within 24 hours and remain on display for up to 30 days.  Online orders generally print and mail within one business day from our Oklahoma City lab via 1st-class mail delivered in 3-5 days.  All pics are guaranteed good quality or we'll be happy to reprint or refund in full.

What about removing an embarrassing proof from the website?  Specifically, any revealing dress (or lack of it), half-closed or blinking eyes, goofy expressions, and such.  We train our shooters not to snap photos that could embarrass anyone and also to scan the images before uploading.  However, should you find such an image, just send us the roll and frame number and we will endeavor to remove it as quickly as possible.

What about removing other pics from the website?  Our shooters are trained not to encourage girls kissing or displaying beer bottles to the camera.  If this (or other activities) are forbidden by your chapter policy, please educate your members not to request such pics.  For these type shots, the price of a 4x6 print is requested prior to removal.          

 

Out of town events?

Yes, we've actually covered events in Chicago - St Louis - Destin - Panama City - New Orleans - Gatlinburg - Canada  - Charleston.  All these spots and more can be arranged - with sufficient advance notice.  Depending on location, a hotel room and/or mileage fee is required.
